Privacy policy
Last updated: 22 July 2026
1. Who controls your information
The data controller is Iris Harbor Sp z oo, which operates Waylen from Marszałka Józefa Piłsudskiego ul. 63 lok. 9, 41-902 Bytom, Poland. For privacy questions or requests, use our contact page or call +48 733 855 863.
2. Information we collect
Depending on how you use the website, we may collect:
- your first name, email address and consent choice when you join a mailing list or waitlist;
- your name, email address and message when you send a question through our contact form;
- booking details you provide when scheduling a consultation, such as your name, contact details, chosen time and meeting information;
- information you choose to provide during a consultation or when receiving a Waylen service; and
- limited technical and security information, such as IP address, browser details and request logs, processed by our hosting and anti-abuse services.
3. Why we use it
| Purpose | Legal basis |
|---|---|
| Answer questions, arrange consultations and take steps you request before receiving a service | Steps before a contract or our legitimate interest in responding to you |
| Send account and service updates you have opted into | Your consent, confirmed through double opt-in |
| Deliver agreed guidance services and maintain service records | Performance of a contract and legal obligations |
| Protect the website, prevent spam and diagnose faults | Our legitimate interest in keeping the service secure and reliable |
4. Service providers
We use carefully selected providers to operate the website, our student portal and our communications, including hosting, security, email delivery and calendar-based consultation scheduling. Access to student and enquiry records is restricted to authorised Waylen staff. These providers process information under their own safeguards and contractual obligations. We may also share information where required by law or when necessary to establish or defend legal claims.
Some providers may process information outside the European Economic Area. Where this happens, we rely on a lawful transfer mechanism, such as an adequacy decision or approved contractual safeguards.
5. How long we keep information
- Mailing-list and waitlist details are kept until you unsubscribe, the purpose of the list ends, or after 24 months of inactivity, whichever comes first.
- General enquiries are normally kept for up to 12 months after our last contact.
- Service and transaction records are kept for the period required by Polish accounting, tax and legal rules.
- Security logs are retained only for the period reasonably necessary to investigate abuse and protect the website.
We may retain limited information for longer where necessary to comply with law, resolve a dispute or record an unsubscribe request.
6. Cookies and local preferences
The website stores your session and light/dark theme choice on your device, and may remember whether you dismissed an on-site prompt. Our hosting and calendar-booking providers may use necessary technologies for security, booking and service operation.
7. Your rights
Subject to the conditions in data-protection law, you may ask us to access, correct, erase or restrict your personal information, provide a portable copy, or object to certain processing. You can withdraw consent at any time without affecting earlier lawful processing. Marketing emails also include an unsubscribe option.
To exercise a right, use our contact page. We may need to verify your identity before completing a request. You may also lodge a complaint with the President of the Personal Data Protection Office in Poland or the data-protection authority in your country.
8. Automated decisions
Waylen does not use the information collected through this website to make decisions based solely on automated means that produce legally significant outcomes.
9. Security and updates
We use reasonable organisational and technical measures to protect personal information. No online service can guarantee absolute security, so please avoid sending sensitive documents through a general enquiry form — use your secure student portal instead once your account is set up. We may update this policy when our services or providers change, and the revision date above will be updated.
10. Contact
For any privacy question, use our contact page or call +48 733 855 863.
